Effective Date: March 27, 2026
Helix ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and share information when you visit our website at helixaiautomations.com (the "Website"), use our AI-powered automation services (the "Services"), or interact with AI agents deployed by Helix on behalf of our clients.
By using the Website or Services, you consent to the practices described in this Privacy Policy.
1. Information We Collect
a. Information You Provide Directly
When you fill out forms on the Website, request an audit, or contact us, we may collect your name, email address, phone number, business name, business type, and any other information you choose to provide.
b. Information Collected Through AI Agents
When you interact with an AI agent deployed by Helix (via phone call, website chat, or social media message), the following information may be collected: your name or the name you provide; your phone number or contact information; the reason for your call, message, or inquiry; any other details you voluntarily share during the interaction. AI phone agents may process your voice in real time to understand and respond to your inquiry. Call audio may be processed by third-party speech-to-text and AI providers for the purpose of generating accurate transcriptions and summaries. Summaries of AI interactions are delivered to the business that deployed the agent for the purpose of customer follow-up.
c. Information Collected Automatically
When you visit the Website, we may automatically collect: your IP address, browser type, and operating system; pages visited, time spent, and referring URLs; device and connection information. We use Google Analytics to collect and analyze this information. You can opt out using the Google Analytics Opt-Out Browser Add-on.
d. Cookies
We use cookies and similar technologies to improve your experience on the Website. You can manage cookie preferences through your browser settings. Disabling cookies may affect Website functionality.
2. How We Use Your Information
We use the information we collect to: provide, operate, and improve the Website and Services; capture and deliver customer inquiry summaries to our business clients; respond to your inquiries and provide support; generate and manage automated review requests; analyze Website traffic and usage patterns; comply with legal obligations and protect our rights.
3. How We Share Your Information
We do not sell or rent your personal information. We may share information in the following circumstances:
With Our Business Clients: If you interact with an AI agent deployed by Helix on behalf of a client business, a summary of your interaction (name, reason for contact, callback information) is shared with that business for the purpose of follow-up. This is the core function of our service.
With Service Providers: We use third-party vendors to operate our Services, including but not limited to GoHighLevel (CRM and automation), Twilio (telephony), OpenAI (AI language processing), ElevenLabs (voice synthesis), Google (analytics), and cloud hosting providers. These vendors process data on our behalf and are bound by their own privacy policies and data processing agreements.
For Legal Reasons: We may disclose information if required by law, subpoena, court order, or to protect the rights, safety, or property of Helix, our clients, or others.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
4. Data Collected on Behalf of Clients
When Helix deploys AI agents for a business client, we act as a service provider processing data on behalf of that client. The client business is responsible for any required disclosures to their own customers regarding the use of AI agents. Helix processes this data solely for the purpose of providing the contracted Services and does not use client customer data for our own marketing or any unrelated purpose.
5. Data Security
We implement reasonable technical and organizational measures to protect your information, including encryption of data in transit and at rest, access controls and authentication requirements, regular monitoring and security assessments. However, no method of transmission over the Internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
6. Data Retention
We retain personal information only as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by law. Client customer data (AI interaction summaries) is retained for the duration of the client subscription and deleted within 30 days of subscription cancellation, unless otherwise requested.
7. Your Rights
Depending on your location, you may have the right to: access the personal information we hold about you; request correction of inaccurate information; request deletion of your personal information; opt out of marketing communications. To exercise any of these rights, contact us at info@helixaiautomations.com.
